How To Create and Use Brand Voices
We highly recommend watching the video before starting so you can see step-by-step how brand voices work and how to make sure your AI-generated content always sounds like you — consistent, professional, and aligned with your brand personality.
Why Brand Voices Matter
A Brand Voice defines the unique way your business communicates — the tone, phrasing, and structure that make your messages sound authentic and on-brand.
Without a clear voice, AI-generated content may:
Sound generic or inconsistent
Use words that don’t fit your usual tone
Miss the emotional or conversational style your audience expects
With well-set brand voices, Concierge AI can create content that matches your exact tone — whether it’s for social media, emails, website copy, or video scripts.
The S.E.E. Formula
Summary
Your Brand Voice acts as a summary of your communication style. It tells the AI the essence of how you speak and write.
Explanation
Each brand voice defines the rules around how to write your content. For example:
Keep it friendly and conversational
Avoid technical jargon
Use short, simple sentences
You can create different voices for different purposes, such as:
Facebook or LinkedIn posts
Sales or landing pages
Website content
Email campaigns
This helps the AI know which “voice” to use automatically when you assign a task.
Expectations
Once your voices are set up, you can expect Concierge AI to:
Write with your tone, structure, and language patterns
Save time editing content that “doesn’t sound like you”
Maintain a consistent brand identity across all channels
How To Create a Brand Voice
You can create a new brand voice in a few simple ways:
Option 1: From Text
Use this if you have sample posts or written content that already captures your voice.
Go to your Brand and click Add Voice.
Choose From Text.
Copy and paste examples of your best posts, emails, or articles (e.g., from Facebook, LinkedIn, or newsletters).
Label each section clearly, like “Example 1,” “Example 2,” etc.
Click Analyze Voice.
The system will automatically study your samples to create a voice that reflects your writing style — including tone, phrasing, and sentence rhythm.
You can then edit or refine the results if needed.
Option 2: From a URL
If your website or landing page already reflects your brand’s style:
Choose Add Voice → From URL.
Paste the link to your webpage.
The system will analyze your writing style from that page and build your brand voice automatically.
Option 3: Add Manually
If you already have a brand voice document or have worked with tools like ChatGPT before:
Choose Add Voice → Add Manually.
Paste your existing brand voice or tone guide.
Give it a clear name, such as Founder’s Facebook Voice or Website Copy Voice.
This lets you reuse your existing tone setup easily.
Editing and Customizing Your Brand Voice
Once created, you can further refine your voice with:
Do’s and Don’ts — e.g., “Use first-person tone,” “Avoid emojis,” “Keep paragraphs short.”
Examples — add “good” and “bad” samples so the AI learns what’s right.
Custom Rules — even step-by-step instructions for how to approach certain writing tasks.
Example:
Rule: Follow these steps when writing a post.
Ask for the topic.
Ask for 3 key points to highlight.
Write in a confident but approachable tone.
This helps the system adapt to your exact writing process.
Using Your Brand Voice
When creating a new task or request:
Select your Brand from your account.
Describe your content, e.g., “I’d like to write a Facebook post about the challenges of running an AI and automation agency.”
The system will automatically identify and apply the matching brand voice (e.g., “Founder’s Facebook Post”).
You’ll then receive an output that sounds naturally like your brand’s authentic tone — ready to use or lightly polish.
Important Points To Remember
Start simple — create brand voices for your most frequent content types first.
Use hyperlinks if your task description contains platform names or words that could trigger filters.
Update regularly — refine your brand voices as your tone or messaging evolves.
Be descriptive with names — e.g., “LinkedIn Professional Voice” or “Founder’s Email Tone.”
By defining your Brand Voices, you’ll help Concierge AI write content that’s not just accurate — but also authentically you. This saves time, reduces back-and-forth revisions, and keeps your messaging consistent everywhere.
